Law firm accounts receivable: a practical workflow for overdue legal bills
Build a law-firm billing worklist that separates overdue balances, payment promises, disputed charges, and verified payments without losing client context.
Law firm accounts receivable management starts with accurate bills and a shared account history. Prioritize invoices by the action they need—routine reminder, promised-payment check, billing review, or payment reconciliation—and keep sensitive decisions with the responsible person.
What is accounts receivable at a law firm?
For the workflow in this guide, accounts receivable means billed amounts that remain unpaid. It is different from work recorded but not yet invoiced, and from funds held in trust. Mixing those categories makes it harder to see which client balances actually need follow-up.
Start with the billing system’s invoice-level records. A single client can have one paid bill, another overdue bill, and a third bill under review. An account-level total alone may hide those differences and lead to a reminder that asks for the wrong amount.
This guide describes an operating workflow, not legal or trust-accounting advice. Your firm’s agreements, local professional rules, and authorized decision-makers determine what action is appropriate for a specific account.
Turn the aging report into a worklist
An aging report shows balances by how long they have been outstanding or overdue, depending on its configuration. It helps locate the problem; the worklist explains what to do next.
| Account state | Billing team’s next action | Decision owner |
|---|---|---|
| Overdue with no reply | Verify balance and send approved reminder | Billing coordinator |
| Client requested a copy | Resend through the approved channel | Billing coordinator |
| Client proposed a new date | Ask the authorized person to approve | Account owner |
| Charge disputed | Pause routine disputed-balance outreach and investigate | Responsible attorney or account owner |
| Payment reportedly sent | Match the payment to the invoice | Billing or finance team |
| Payment verified | Update the record and stop reminders | Billing or finance team |
Use specific owners rather than “the team.” The purpose is to prevent an invoice from appearing on the same report every week without anyone knowing who should act.
Protect the client relationship and account context
A reminder should contain only the information the recipient needs to identify and address the bill. Confirm the billing contact, avoid broad recipient lists, and check attachments before sending. A matter description that is useful internally may not belong in an email subject or voicemail.
ABA Model Rule 1.6 addresses confidentiality and reasonable efforts to prevent unauthorized disclosure. It includes exceptions, but those are not a blanket instruction to share client details in a billing workflow. The responsible lawyer should evaluate local rules and the circumstances before disclosure. Source: ABA Model Rule 1.6.
The practical operating principle is simple: routine follow-up can follow a policy; sensitive judgments should reach the person accountable for them. A message automation should not decide to waive fees, disclose matter details, or change a client relationship on its own.
Measure collections without confusing the numbers
Clio defines collection rate around the portion of billed work that gets collected, distinct from measures of time worked or time billed. Its benchmark resource explains these law-firm metrics. Source: Clio’s law-firm KPIs.
For an internal example, suppose a defined group of invoices totals $100,000 and $90,000 is collected against those invoices. That group’s collection rate is 90%. The remaining $10,000 is not automatically a permanent loss; the outcome depends on the observation period, credits, disputes, and later receipts.
If you compare one month’s cash receipts with that month’s billings, some receipts may belong to older invoices. Label that measure accordingly. For a cleaner view of a follow-up program, track a fixed invoice group and a consistent recovery window.
Useful companion measures include the overdue balance, invoices awaiting an owner decision, commitments kept, and time from a payment report to verification. Do not judge the team only by messages sent. More activity can coexist with poor account resolution.
Establish a daily review and a weekly decision point
The daily review can be short: refresh payments, identify new overdue bills, process replies, and check commitments due today. Only then release the reminders approved for that account state.
The weekly review should focus on exceptions. Which disputed bills lack an owner? Which commitments have been missed repeatedly? Which accounts have no working contact? Which balances require a business or legal decision outside the billing team’s authority?
Keep a record of the decision and the next review date. “Attorney reviewing” is incomplete if no attorney is named and no follow-up is scheduled.
Where an AI billing agent can fit
An agent can be designed to handle repetitive checks and approved follow-ups while bringing exceptions to staff. The important question is whether it uses current billing context and records its actions, not whether it can write a polite email.
BillCake is being built around that distinction: Cake reviews invoices, follows the approved plan, brings decisions to the team, and checks for payment. The product is in early access, and its billing connections and AI phone outreach are planned. See the AI agent evaluation checklist before assessing any vendor.
Common questions
Should a firm send every overdue invoice to an outside collector?
That is an account-owner decision, not the automatic next step in this workflow. Review accuracy, unresolved disputes, relationship context, and applicable obligations before selecting an escalation path.
What should the billing team fix first?
Start with inaccurate balances, duplicate reminders, and unowned replies. Better reminders cannot compensate for a worklist that does not distinguish a missing payment from a missing answer.
